Operations Manager

POSITION SUMMARY

Generation Rising is a Christian organization dedicated to breaking the cycle of poverty in Latin America through education. We believe education empowers children to take charge of their own future, helping them lift their families out of poverty and become leaders that ignite change in their communities. 

We’re a small organization, but we’re growing steadily. As we expand our work, we are now seeking a full-time Operations Manager responsible for the day-to-day operations of our Canadian office.

RESPONSIBILITIES 

  • Assist the Executive Director
    • Administrative support for the ED in day-to-day operations and ensuring the ED keeps on task and meets deadlines.
    • Acts as liaisons between Executive Director and the rest of the staff. 
  • Day to Day Operations
    • Provide leadership, direction and planning for the day-to-day operations of the organization to meet its goal to fundraise so that our projects can grow and thrive. 
    • Keep all staff on task and on-time.
    • Create processes to make every-day tasks more efficient and scalable, including stewardship activities and customer service.
    • Develop policies, onboarding manuals, branding guides and other systems and structures needed to streamline our Canadian operations.  
  • Human Resources
    • Develop and manage staff policies including HR manuals. 
    • Oversee payroll and administer the benefits and pension program. 
    • Supervise and manage the office staff. 

  • Data Management:
    • Assist in accurate maintenance of donor database, entering donations, updating donor information, sending out invoices, keeping credit card information up to date, etc.
    • Assist in sending out yearly tax receipts and annual reports to donors

  • Finances
    • Track, invoice and bill yearly pledges
    • Oversee deposit of weekly donations and prepare month-end reconciliation for the accountant  
    • Track, organize and prepare expenses for the month-end.
    • Together with the accountant ensure that all our finances are error-free. 
    • Prepare year-end finances for the auditors. 
    • In charge of legal compliance of the organization and making sure the organization follows CRA regulations 
    • Pay vendors and contractors
  • Fundraising and Marketing:
    • Manage our content schedule and staff assigned to content. 
    • Ensure that all our direct-mail communications go out on time and without error. 
    • Provide exceptional customer service to donors, child sponsors and community members if needed. 
    • Solve donor problems with an exceedingly warm and personal approach if needed. 
    • Actively contribute to developing better ways to serve and engage our donors and to develop a culture of donor care. 
  • Events and Trips:
    • In charge of logistics for organizational travel and church service trips (booking flights, accommodations, etc.)
    • Assists with all administrative tasks related to events such as booking venues, sending invitations, maintaining guest lists and RSVPs
    • Work with churches and other groups to promote Generation Rising fundraising events and ensure events are properly advertised 

QUALIFICATIONS

  • Attention to detail and organizational skills is a must
  • Minimum 2 year experience in customer service and administrative work. willingness and ability to learn. Experience of 5 years or more will be considered an asset. 
  • Must be proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace as well as an ability to absorb new skills quickly.
  • Experience with donor databases and work in non-profit sector is considered an asset
  • Excellent time-management skills and ability to multitask and prioritize work
  • Self-motivated, outgoing, flexible and adaptable 
  • Highly relational and oriented to customer service

ADDITIONAL INFORMATION

  • Based in our office at 204-1695 Henderson Hwy., Winnipeg, MB. This is not a remote position and successful candidates must have the ability to work out of our office. This includes being able to legally work in Canada and Manitoba. We will not consider any candidates who do not currently have a valid work permit or Canadian residence. 
  • Successful candidates will need to learn and master the Virtuous donor database as well as other software such as our project management system. 
  • Reports to the Executive Director and oversees other administrative staff. 
  • This is a full-time salaried position and includes some evenings and weekends. Compensation ranges between $50,000-70,000 based on qualifications and experience. Includes benefits and pension. 
  • Requires some travel outside of Manitoba for events (30-50 days per year).
